Terms and Conditions for Online Bookings

These terms and conditions govern the use of our hotel's online booking platform. By making a reservation through our website, you agree to be bound by these terms. Please read them carefully before making your booking.

Reservation Confirmation: Your reservation is confirmed once you receive a booking confirmation email. It is your responsibility to review the details and notify us immediately of any discrepancies.

Payment: The provided credit or debit card will be charged according to the booking details. Any additional charges will be settled upon check-out.

Cancellation and Modification: Cancellations or modifications must be made within the stipulated time frame. Failure to do so may result in charges equivalent to your booking. The cancellation policy may vary depending on the rate selected.

Check-In and Check-Out: Check-in time is between 17:00 and 21:00. Check-out time is by 10:00. Early check-in or late check-out may incur additional charges, so please contact us if you intend on checking in/out at different times.

ID and Payment Card: A valid photo ID and the credit/debit card used for booking are required upon check-in. If someone other than the cardholder is paying, an authorisation form must be provided in advance.

Pets: Strictly only service animals are allowed on our premises.

Smoking Policy: Our hotel is entirely smoke-free. Smoking in guest rooms or indoor public areas will result in a cleaning fee.

Damage or Theft: Guests are liable for any damage to hotel property during their stay. We reserve the right to charge the provided payment card for any damages or missing items.

Privacy and Security: Your payment information is securely processed and stored in compliance with data protection regulations. We do not retain complete credit or debit card details on our servers.

Force Majeure: We shall not be liable for any changes or cancellations due to circumstances beyond our control, including but not limited to natural disasters, strikes, or government actions.

Complaints and Feedback: We value your feedback. Please address any concerns or complaints immediately to our front desk during your stay for a prompt resolution.

Limitation of Liability: Our liability for any claims arising from your stay is limited to the total amount paid for your booking.

Governing Law: These terms and conditions are governed by and construed in accordance with the laws of England and Wales.

Payment Policy

Pre-Authorisation: Upon booking, we may pre-authorise your credit or debit card to validate its authenticity and secure your reservation. This is a temporary hold and not an actual charge.

Payment: The payment for your stay, including room charges, applicable taxes, and any additional services, will be processed using the credit or debit card provided at the time of booking.

Deposit: Certain rates or packages may require a deposit to secure your reservation. This deposit is non-refundable and will be deducted from the total cost of your stay.

Incidental Charges: Any incidental charges incurred during your stay, such as room service, will be charged to your room and settled upon check-out.

Currency: All transactions are processed in GBP (British Pounds). If your credit or debit card is denominated in a different currency, your card provider may apply a currency conversion rate and additional fees.

Cancellation and Refunds: Refundable bookings canceled within the stipulated time frame will be eligible for a refund to the original payment method. Non-refundable bookings are exempt from refunds.

Declined Payments: In case of a declined payment, we will make reasonable efforts to contact you. If the payment issue is not resolved promptly, your reservation may be subject to cancellation.

Promotions and Packages: Special rates, promotions, or packages may have specific payment terms. Some rates may require full prepayment at the time of booking and are non-refundable.

Disputed Charges: If you have concerns about a charge, please contact us directly for resolution before disputing the charge with your card issuer.

Governing Law: This payment policy is governed by the laws of England and Wales.

Cancellation Policy

Cancellation Timeframes:

Refundable Bookings: Cancellations more than 48 hours prior to your scheduled arrival date will receive a full refund. Cancellations made within 48 hours of arrival will incur a charge equivalent to 50% of the total booking amount.
Non-Refundable Bookings: Non-refundable bookings are exempt from refunds or modifications.

Modification Requests:

Modifications to your reservation are subject to availability and are not guaranteed. Changes may incur additional charges or adjustments to the booking rate.
Early Departure: In case of early departure, the full amount of the reserved stay will be charged.

No-Show Policy: Failure to check in on the scheduled arrival date (no-show) will result in the full charge of the total booking amount.

Special Rates and Packages: Special rates, promotions, or packages may have specific cancellation terms outlined at the time of booking. Some rates may be non-refundable and non-modifiable.

Refund Process: Refunds for eligible cancellations will be processed to the original payment method within 7 business days.

Group Bookings: Group reservations may have distinct cancellation terms specified in the group booking agreement.

Cancellation Notification: All cancellation requests must be submitted in writing via email to info@bellcountryinn.co.uk or through our booking platform.

Force Majeure: In extraordinary circumstances such as natural disasters, pandemics, or government-imposed travel restrictions, we may offer flexible cancellation options. Such cases will be assessed on an individual basis.
