Terms & Conditions

All bookings are subject to the full terms & conditions that can be found on our website at http://www.henleyhousehotel.com/policies/ and you are taken as having read, understood and accepted them. Below are a selection of them for your information.

GENERAL
 We require clients to double check all confirmations. It is the client's responsibility to ensure that all details are correct and the confirmation is consistent with the clients requirements.

CHECKING IN AND OUT
 Rooms are available from 14.00 hrs on the day of arrival. Rooms must be vacated by 11.00 hrs on the day of departure.

CHANGES, BOOK-OUTS AND CANCELLATIONS MADE BY US
 Occasionally, we have to make changes to and correct errors in our publications and other details both before and after bookings have been confirmed and cancel confirmed bookings, and we reserve the right to do so.
 We reserve the right to book you into another hotel of a similar category, should the service or accommodation you require not be available due to unforeseen circumstances. If these circumstances should arise (and we shall endeavour to let you know as soon as possible before your arrival), we will offer you the choice of the following options:-
 accepting the changed arrangements. In such a case Henley House Hotel will be responsible for the price difference(if any) and any reasonable transport costs incurred in re-locating from our hotel to the alternative hotel .
 cancelling or accepting the cancellation in which case you will not be charged by us.
In all such cases, our liability is limited to offering you the above mentioned choices. We regret we cannot pay any expenses, costs or losses incurred by you as a result of any change or cancellation except as otherwise noted above.

Payment Policy

Special terms relate to Advance Purchase Offer, Early Bird Offer, Christmas Holidays Offer, and any other similar promotion that may be added from time to time:

(i) Reservations on these offers must be paid in full at the time of booking, and the amount paid is non-refundable and non-amendable in any way.
(ii) Any such booking that has been prepaid or where a deposit has been taken, guests MUST PRODUCE THE SAME CREDIT CARD upon arrival. If a company is paying for the individual travelling then a signed credit card authorisation on headed company notepaper must be completed and sent to the hotel. Please contact the hotel for more information if required. We reserve the right to refuse accommodation where the above terms are not met.

For all other bookings, the following applies:

(i) We reserve the right to validate and pre-authorise all credit cards prior to arrival.
(ii) Your booking will be guaranteed against a credit card, subject to the cancellation policy detailed below.
(iii) You will be asked to produce a credit card and make full payment (whether by credit card or cash) when you check in.
(iv) Bookings of 3 or more rooms or for more than 7 nights: We reserve the right to ask for a non-refundable deposit to hold the room(s). We shall contact you to let you know our terms for these kind of bookings. Your initial confirmation is subject to this.

Unless the booking has already been fully pre-paid, we require full payment for the entire stay on checking-in to hotel (unless another arrangement has been agreed with the hotel in writing before arrival).

Late Check-out: There is the possibility of a charged late check-out. This allows check-out by latest 2.30pm. The charge for this is an additional £30 (but this price can change- please check at the time you are enquiring) and is subject to availability .

Cancellation Policy

Should you wish to make any changes to your confirmed booking, please note the following terms and conditions:

Always provided the reservation is NOT a pre-payable/non-refundable rate or Group rate:
1)Reservations made may be modified or cancelled without penalty up to 48 hours prior to 11am on the day of arrival
2) Cancellations or amendments made later than 48 hours before 11am on the day of arrival may not be modified or cancelled without a charge being made to the debit or credit card used to guarantee your reservation equivalent to 1 nights stay for every room booked.
3) If you fail to cancel or do not show up, you will be charged one nights accommodation for each room booked.
4) Guests in house wishing to amend/bring forward their departure date: You will be charged/no refund given for the nights you wish to cancel BUT provided the hotel is informed by latest 23.30 on the day prior to that of any amendment we shall however endeavour to re-let the room(s) and if we are successful then we shall refund you to the extent/amount that we are able to re-let the room(s).
5) Any request to cancel a reservation cannot be considered complete until you receive our cancellation confirmation email. Until you do so, your booking will still be considered valid and cancellation penalties may be incurred. If you do not receive a confirmation of your cancellation of your initial request please ensure you contact us without delay.

IMPORTANT!!: If you make the booking via a third party site (i.e a booking agency or affiliate site) you MUST cancel THROUGH THEM. The hotel cannot treat any booking as cancelled/amended unless notified by the third party site.
