Terms & Conditions

Residential Booking Terms and Conditions

• Sole use of Shallowford House residential accommodation and facilities is available for groups of 40 or more adult paid places.

• Vacating your room: Residential accommodation is available for occupancy from 4pm on the day of arrival and should be vacated by 10am on the day of departure.

• Provisional Bookings will be held for a maximum of 14 days from the date of acceptance.

• Confirmed Bookings: A booking is only considered confirmed on receipt of a signed booking form and deposit.

• Deposit: A deposit of £25 per person is required for all residential bookings and should be returned with the booking confirmation. Card payments may be made by phone or cheques made payable to ‘Shallowford House’, BACS payments to 30-95-04, 00649608, Shallowford House. All deposits are NON REFUNDABLE. In the case of a booking made more than nine months in advance the amount of deposit to be paid is £240.

• Invoicing: You will receive your invoice 30 days in advance of your stay.

• Child Reductions apply where children are sharing a room with their parents/carer. Reductions are as follows: under 2 yrs no charge 2-5 yrs 75% reduction, 6-11 yrs 50% reduction, 12-16 yrs 25% reduction.

• Cancellation Policy: We do not enjoy charging a cancellation fee. However, due to high overhead costs, we regret that we have to charge should you have to cancel for whatever reason. These charges apply in all cases. The charges (per person cancelling) are as follows:

More than 180 days before arrival - deposit
Between 91-180 days before arrival - deposit plus 50% of balance
Between 31-90 days before arrival - deposit plus 75% of balance
30 days or less before arrival - no refund

These charges apply in all cases. Therefore, we strongly recommend that where possible cancellation insurance be obtained.

• Special Diets: The catering team are happy to cater for those on vegetarian diets or those needing a special diet for medical reasons. Please notify us in writing two weeks prior to your visit so that we may cater for those diets requested.

• As a licensed premise, only alcohol purchased from us may be consumed on the premises.

• Liability: Shallowford House is not responsible for loss or damage to personal possessions whilst on the premises. Groups requiring personal cover are advised to take out their own insurance.
